Slovak House during the Olympics: online registration, QR entry and a credit system for partners

The organizer of the Slovak House during the Olympic Games needed to handle the registration of visitors from the general public while also efficiently managing the limited capacity of the venue.

📝 The client's requirements were:

  • online registration for the public for specific days and time slots,
  • automatic closing of registration once capacity was reached,
  • on-site entry control using QR codes,
  • an accurate overview of how many people are in the venue at any given moment,
  • entry only for visitors with a valid time slot,
  • a credit system for members of the Olympic team and partners for purchases at the bar and restaurant,
  • clear statistics on attendance and consumption.

Our solution?

1️⃣ Online registration with capacity control

For visitors to the Slovak House we set up online registration where the public could book entry for a specific day and time slot.

The system automatically tracked the capacity of each slot.

Once a slot was full, registration for that time closed automatically, so the organizer didn't have to monitor capacity manually.

After registering, every visitor received a ticket with a QR code.

 

2️⃣ Entry control and real-time capacity tracking

On site we handled entry control using professional QR scanners.

As each attendee entered, we:

  • scanned their ticket,
  • printed an identification wristband with a QR code.

Control was carried out as a check-in / check-out process, meaning we scanned every visitor both on entry and on exit. 

This gave the organizer an accurate overview of the number of people in the Slovak House at any given moment, ensuring the venue's maximum capacity was never exceeded.

At the same time, the system checked whether the visitor had a registration for the current time slot.

If their ticket was for a different time, the system automatically denied entry.

 

3️⃣ Credit system for the Olympic team and partners 

In addition to registering the public, we also set up a credit system for members of the Olympic team and partners.

Each of them received a fabric wristband with a unique QR code that served as a digital wallet for purchases.

Depending on the type of wristband, each participant was allocated a daily credit for purchases at the bar or restaurant. 

Our scanners were placed at the bar, and they:

  • scanned the QR code on the wristband,
  • displayed the remaining credit,
  • automatically deducted the value of the purchase.

This eliminated the need for paper tickets, tokens or other manual systems.

 

4️⃣ Statistics on attendance and consumption

Throughout the entire event, the organizer had clear real-time statistics available.

The system provided information on:

  • the number of visitors in the Slovak House at any given moment,
  • attendance by individual time slot,
  • credit consumption by group (Olympic team, partners),
  • daily credit usage for inventory and settlement purposes.

The result

Throughout the entire run of the Slovak House, the organizer had full control over the venue's capacity as well as the operation of the bar and restaurant.
