Managing Partners and Their Guests at a Large Festival
The organizer of one of the largest Slovak festivals approached us with a challenge familiar to anyone who works with dozens or even hundreds of partners 👉 How do you register hundreds of guests from more than 300 partners and suppliers simply, reliably and without chaos – with no need for manual communication and no risk of ticket misuse?
📝 The client’s brief:
✅ We need each partner to be able to register their own guests.
✅ The number of guests must be limited – different quantities and ticket types depending on the partner (e.g. 10× basic, 5× VIP, 5× parking).
✅ Partners must have the option to edit attendees’ names themselves right up until the moment of their arrival.
✅ At the accreditation point we need a clear list of guests, including the ticket type and additional details from the form.
✅ The goal is to minimize manual communication, prevent the resale of tickets through classified ads and keep control over registration.
🛠️ Our solution:
In the Inviton system we created an event for the client with separate Guestlists for each partner.
Each partner was assigned specific ticket types (e.g. Basic, VIP, parking) with a set limit on the quantity they were entitled to.
The partner received a unique link to their Guestlist – with no need to log in – where they could fill in the details of their guests and assign them the appropriate ticket type.

💡 WHAT HAPPENS IF GUESTS ARE NOT ON THE LIST?
If a guest arrives who the staff can’t find in the Inviton Promoter app, there’s no searching through emails or papers.
The guest simply needs to call the partner’s contact person, who adds the guest to the Guestlist online.
Thanks to the online mode, the name instantly appears on the tablet at accreditation and the guest can be checked in right away.
Conclusion:
Inviton automated work that would otherwise have required hundreds of emails, spreadsheets and phone calls. Partners had complete freedom in managing their guests, while the organizer at the same time had full control over limits and access.
